We investigate what limits results and examine a priority process with your team. We compare approaches and develop a recommendation to guide investment.
From understanding operations to choosing the next step, you understand the opportunity, the conditions and the reasons behind the recommendation.
The assessment provides the analysis and plan. Testing, implementation and operations have their own scopes.
01Process mapWhere work gets stuck.
Steps, people, systems, exceptions and metrics for the current process. A shared view of what happens and what needs to improve.
02Opportunity mapWhich approaches are worth comparing.
Options involving AI, automation and process adjustments, linked to the desired result and the dependencies of each approach.
03Requirements for executionWhat is available. What still needs preparation.
The data, access, systems, people and changes needed to put the recommendation into practice.
04Priority and feasibilityWhere to focus investment.
Potential benefits, preliminary costs, risks and assumptions. Evidence to decide whether to invest, test, prepare or defer.
05Plan for the next deliverableHow to move from analysis to action.
Objective, scope, sequence, owners and evaluation criteria. A plan your team, Gaulett or another provider can use.
Documents · PED-042
From a stalled order to an investment decision.
The assessment connects an operational problem to a priority, the expected value and a next step that can be verified.
Starting point
An order with conflicting destinations, a missing packing list and an illegible page.
Before additional information arrives
01Where to invest first
Organize intake. Test AI document review.
For this workflow, start with requirements and attachment checks. Limit the AI test to finding discrepancies and citing their sources.
Why combine these approaches
Process: guide submission
Define the required documents, who resolves each issue and when the order can move forward. Requirements should be clear before submission.
Rules: check incoming documents
Check required fields and whether attachments are present. An attached file still needs to be checked for its link to the order and its contents.
AI: support interpretation
Test whether AI can locate differences between the order and its attachment, with page references. The team confirms their meaning and the action to take; insufficient legibility requires additional information.
This priority applies to the scenario shown. The frequency of issues and the team's effort must be established before deciding how much to invest.
02Why start here
Three open issues. Different actions.
The missing list needs to be requested. The discrepancy requires comparison and confirmation. The illegible page needs to be resent.
What supports the recommendation
PED-042 · version 1
The order states North as the destination and lists 12 packages. The checklist requires a packing list, which is missing from the initial set of documents received.
ANX-042 · version 1 · page 1
The attachment states South as the destination. Finding the difference helps request confirmation; it does not establish which destination is correct.
ANX-042 · version 1 · page 2
The content is illegible. Request a legible version and check the required fields, without filling gaps with assumptions.
This is the stage before packing list LV-042 is received. All three issues remain open, and the order is not cleared for dispatch.
03What value to seek
Fewer orders sent back. Less effort to hand off.
Aim for more orders ready for handoff, without shifting work to the reviewer or letting incorrect information through.
How to verify the value
Handoff quality
Compare issues identified, omissions and incorrect handoffs. Check the source and the team's decision in each case.
Effort through to handoff
Measure checking, review, corrections and requests for additional information. Separate working time from waiting time; count avoidable cases sent back for correction.
Cost per completed handoff
Include the team's work, technology usage and maintenance. Compare equivalent tasks with and without AI, using the same criteria.
Agree on the baseline and success criteria with the business. No gains have been measured in this example.
04How to move forward
A defined deliverable. A decision backed by evidence.
Bring together the checklist, owners for each step and handoff criteria. Prepare to validate AI document review on comparable orders.
What to confirm before expanding
First deliverable
A map of open issues, intake rules and a comparison plan. Define approved sources, who reviews the results and when to stop and request additional information.
Requirements for testing
Have accessible documents, permission to use them, common cases and exceptions, and a team available to check the results. If these conditions are missing, prepare them before testing.
What changes the recommendation
If rules can reduce most of the effort, prioritize them. If interpretation remains important, validate AI. If review cancels out the benefit or reliable sources are unavailable, adjust the scope or stop.
The team decides whether there is enough evidence to proceed. Resolving one issue does not authorize dispatch or expansion of the solution.
An illustrative scenario showing how Gaulett informs a decision. The recommendation for each business depends on its process, data and conditions for execution.
