Operations and improvement

Keep AI
delivering value.

Improve answers. Make it easier to use. Focus your investment.

A source changes. The team corrects an answer. A cost rises. Gaulett investigates the cause, makes the agreed adjustments and checks the change before it goes into use, with evidence to decide the next step.

What your company receives

Know what to fix.
Choose where to move forward.

Five deliverables connect monitoring to decisions about the solution.

Coverage, frequency and service terms are defined in the proposal.

Monitoring planWhat to watch and who decides.

Covered solutions and environments, indicators, baselines, access, channels and owners. A defined routine to monitor what matters to the process.

Quality, usage and costsWhat operational signals show.

Review of available indicators and user feedback. We compare equivalent periods and conditions, identifying changes and missing information needed to assess the effect. More usage alone does not prove value.

Issues and correctionsFrom the problem to the next step.

Recording the impact, investigating the cause and addressing it within the agreed coverage. Agreed changes are checked and authorized before release, with conditions for rollback.

Improvement prioritiesWhere to focus the next effort.

Improvements prioritized with the owners, considering usefulness, risk, effort and dependencies. Each change has a goal and criteria for assessing its effect.

Cycle reviewWhat changed and what comes next.

A summary of what was observed, corrected and checked. Updated documentation and next steps discussed with the team.

From a team correction to a better query

Correcting an answer is the start.
Checking the change is what lets you move forward.

Consider a query about requests for exceptions. The rule requires approval, but the answer still uses earlier guidance. See how Gaulett addresses the cause and checks whether the correction works in other situations.

The answer omitted a condition for the request to proceed.

Answer flagged by the team

The request for an exception can proceed without approval.

Source validated by the owner

Requests for exceptions require approval before proceeding.

While the discrepancy remains unresolved, affected requests go through human review.

  1. Record and investigate

We retain the question, answer, source and context. In this example, the query retrieved the old guidance. Changing only the wording would leave the cause in place.

  2. Review and adjust

The owner validates the rule. Gaulett corrects the source selection and query guidance within the agreed scope.

  3. Test before release

We compare the previous and adjusted versions using the same questions, including exceptions. If a criterion is not met, the change goes back for adjustment.

How to check the correction

The same change. Three situations to check.

In this example, the cards show the expected results required for approval. When working with a company, we also record the actual answer and the assessment of each test.

Request for an exception

Can this request proceed without approval?

Expected result

No. Refer it for approval, citing the source of the rule.

What to check: Request for an exception

The answer states the condition, the reference supports the guidance and the request is not treated as approved.

Standard request

Does every request now require this approval?

Expected result

Do not generalize. Check the procedure that applies to the standard request.

What to check: Standard request

Correcting the exception does not impose a requirement on other requests without support from the procedure.

Source unavailable

What if the rule cannot be consulted?

Expected result

State the limitation and refer the request to the owner.

What to check: Source unavailable

The answer does not invent a rule, fall back on superseded guidance or authorize the request.

A change ready for a decision

Source, tests and approval in one record.

Team feedback starts the analysis. The change only goes into use after the agreed review and checks.

Change
Applicable source and query guidance corrected
Evidence
Questions, answers before and after, criteria and test results
Release
Identified version and authorization from the owner
If a regression occurs
Pause the affected use and assess returning to a version that is still valid or using human review

The improvement needs to show in the task.

Quality

Answers backed by applicable sources and recurring failures.

Effort

Total time to complete the request, including human review and corrections.

Cost

Solution resource use and team effort per completed task.

We compare equivalent periods, request types and conditions. Passing the tests is required to release the change; the business benefit needs to be observed in use.

The next cycle's decision

Monitoring guides
the next decision.

Continue

The criteria are still met. We retain the baseline and continue monitoring.

Adjust

A cause or opportunity has been identified. We define the change and how to check it.

Pause the affected use

The conditions to continue are not in place. The owner defines the human handover and the criteria for resuming use.

When information is insufficient, we identify what still needs checking before drawing a conclusion.

How we work

With the people who use it.
With the people who decide.

Your team reports what happens in day-to-day work and sets priorities. Gaulett analyzes the signals, carries out agreed changes and records what was checked.

  1. Observe
  2. Prioritize
  3. Adjust
  4. Check

Before you start

We start with the solution
your company already uses.

Does the solution have to be built by Gaulett?

No. We assess solutions built by your team or other providers. The service is independent and depends on documentation, authorized access and maintenance conditions, including tools and third parties.

Does monitoring include on-call support?

Channels, hours, frequency and response terms must be included in the scope. On-call support or continuous availability are not assumed.

Is every improvement included?

We carry out agreed changes. New processes, integrations or larger changes may require a separate validation or implementation project. Your company decides how to move forward.
