Implementation

Put AI into operation. Keep work moving.

Connected systems. A prepared team. A solution in use.

We develop or configure the solution, integrate systems and prepare your team to use AI in day-to-day work. The aim is to reduce manual steps and keep work moving, from receiving information to taking action.

What your company receives

A solution that connects
to the way work gets done.

Five deliverables take the design into use, with testing, team guidance and defined responsibilities.

Integrations, environments, licenses, technical materials and initial support are defined in the proposal.

Design and execution planHow the solution fits into the process.

Usage workflow, data, integrations, permissions and human review. We agree on dependencies, owners and acceptance criteria before building.

Developed or configured solutionFeatures and connected systems.

Development of the solution and planned integrations, with exception handling and the agreed tools and environments.

Testing and acceptance recordEvidence to authorize use.

Technical testing and evaluation with the team. A record of fixes, restrictions and outstanding issues for the responsible people to decide on.

Documentation and trainingKnowledge to operate the solution.

Guidance on use, configuration, access and handling failures. Training for participants and reference materials.

Go-live and operational handoverWho takes responsibility for each activity.

Activation plan, owners and initial support. Procedures to stop or return to the previous process when needed.

Implementation in practice · PED-042

From a checked order
to a recorded handoff.

AI prepares the analysis. The team decides. The integration must confirm what was recorded. Follow the same order through three moments.

The order still has two open issues.

The packing list of 12 packages has already been checked. The destination mismatch and illegible page 2 remain unresolved.

Not cleared for dispatch
View the order and sources
  • Order PED-042 · version 1

    Destination North; 12 packages expected.

  • Attachment ANX-042 · version 1

Page 1 says South. Page 2 is not legible enough to review.

  • Packing list LV-042 · version 1

The team checked the link to PED-042 and the list of 12 packages.

Access to the documents must be authorized. AI highlights information and limits; the team checks the sources and decides the next step.

Awaiting review

A summary ready for the team to review.

Team decision

Proposed handoff

Record the checked packing list and request destination confirmation and a legible version of page 2.

Decision ownerReview team

A person must check the summary and authorize forwarding the open issues. The AI suggestion alone does not authorize submission.

Next step

Review the sources and summary before authorizing the record.

See what allows work to move forward

The review determines what can be forwarded.

The summary keeps packing list LV-042 marked as checked and the other two issues open. The decision owner can correct the suggestion before authorizing the handoff.

If access, a source or legible content is missing, the issue remains open. Recording a request for additional information does not clear the order for dispatch.

Confirmation pending

The decision was authorized. The record is still unconfirmed.

Team decision

Handoff authorized

The team reviewed the summary and authorized the two requests for additional information. Packing list LV-042 remains checked.

Decision ownerReview team

The person's authorization is recorded in the workflow history. It does not confirm that the destination system received the handoff.

See what allows work to move forward

No response does not prove that recording failed.

The system may have recorded the handoff without returning confirmation. The integration checks the reference and content to clarify the status. If a lookup is not possible, the team follows up on the open issue.

A new submission should occur only after the conditions for resuming have been verified. The reference and duplicate prevention rules must be agreed for the integrated system.

Record confirmed

Record found. No new submission.

Team decision

The same decision, now confirmed

The lookup found the handoff that had already been recorded. The reference, content and version match what the team authorized.

Decision ownerReview team

The confirmation is linked to the workflow history. The next person responsible receives the decision and the issues that remain open.

Next step

The team responsible for the order confirms the destination and provides a legible page 2.

See what allows work to move forward

The record must match the authorized decision.

The confirmation record brings together PED-042, handoff ENC-042 version 1, the decision owner and references PED-042 v1, ANX-042 v1 and LV-042 v1. The lookup confirms the record in the destination system.

Confirmation resolves the uncertainty about the record, not the order's open issues. Dispatch is still not cleared; the missing information must be received and checked.

The value lies in keeping work moving.

Less retyping

Sources and the summary stay with the decision through to the system record.

Clarity to act

The team can distinguish authorization, confirmation and open issues.

Controlled recovery

The last status is checked before an action is repeated.

The records illustrate the proposed workflow. Integrations, permissions and confirmation criteria are defined with your company.

Discuss implementation

Before activation

Ready for everyday use?

Acceptance brings together the evidence and the responsible people's decision on what can go into use.

Tested workflow

Functionality, integrations and records returned to systems.

Known limits

Access, exceptions and outstanding issues that prevent activation.

Prepared team

Guidance, owners and a path for handling failures.

How it works

We build with the people
who will use and operate it.

Your team sets priorities, provides authorized access and takes part in testing and acceptance. Gaulett leads design, development and the handover to operations.

Before you start

Build on what
your company has already developed.

Can we start with implementation?

The services are independent. We use existing analysis and testing to confirm the conditions for execution. If there is a critical question about the solution, validation can help.

Do we need to replace our existing systems?

Choices take into account existing systems, requirements and operating cost. Access, APIs and vendors determine which integrations are possible. New requirements are assessed before changing scope, timeline or investment.

What happens after go-live?

Initial support is agreed in the proposal. Recurring work falls under operations and improvement, with Gaulett or the provider your company chooses.
